Acceptable Use Policy

In short:

  • Use LedgerReady for its intended purpose: preparing financial data for professional accounting review.
  • LedgerReady is preparation infrastructure. It does not provide accounting advice, tax guidance, audit assurance, or regulatory approval.
  • Do not upload data that is not yours. Do not misrepresent your identity. Do not try to access other people's data.
  • Do not use LedgerReady for anything illegal.
  • Violations may result in immediate account suspension or termination.

1. Purpose

This Acceptable Use Policy ("AUP") outlines the rules for using LedgerReady. It applies to all users including business owners (clients) and accounting professionals (accountants). This policy supplements our Terms of Service.

2. Permitted Use

LedgerReady may be used for:

  • Preparing personal or business financial data for professional accounting review.
  • Uploading and organizing bank statements, payment processor exports, and related financial documents.
  • Generating Pre-Accounting Records and preparation artifacts for accountant review.
  • Reviewing and verifying client preparations (accountant role).
  • Exporting prepared data to supported accounting platforms.
  • Collaboration between clients and their accountants on engagement preparation.

3. Prohibited Use

You must not:

  • Upload financial documents belonging to others without proper authorization.
  • Misrepresent your identity, business, or professional credentials.
  • Use automated scripts or bots to access the Platform without authorization.
  • Attempt to access, modify, or delete data belonging to other users.
  • Attempt to circumvent role-based access controls or security measures.
  • Use the Platform for money laundering, fraud, or any illegal activity.
  • Reverse-engineer, decompile, or extract algorithms, models, or proprietary logic from the Platform.
  • Use the Platform to generate misleading or fraudulent financial documentation.
  • Resell, sublicense, or provide third-party access to the Platform without authorization.
  • Use Platform observations or outputs to represent that LedgerReady has verified, validated, or independently confirmed financial data.
  • Append LedgerReady branding or outputs to attest reports, audit opinions, or client-facing documents in a manner that implies professional assurance from LedgerReady.
  • Create multiple accounts to evade plan limits or abuse introductory pricing or plan limits. Each person or business entity may maintain only one LedgerReady account.

3.1 Preparation-Only Boundary

LedgerReady is preparation infrastructure. It may not be used as a substitute for professional accounting judgment. Specifically:

  • Platform outputs may not be relied upon as the sole basis for tax filings, audit procedures, regulatory submissions, or financial attestations.
  • LedgerReady does not provide tax advice, audit assurance, compliance verification, or regulatory approval.
  • Users are solely responsible for all professional conclusions drawn from data prepared through the Platform.

3.2 Infrastructure and Security

You must not:

  • Conduct load testing, stress testing, or penetration testing against the Platform without prior written authorization from LedgerReady.
  • Probe, scan, or test the vulnerability of the Platform or any connected system or network.
  • Interfere with or disrupt Platform performance, availability, or integrity for any user.
  • Circumvent or attempt to circumvent usage limits, plan restrictions, rate limits, or storage quotas through any means.

4. File Upload Rules

  • Accepted formats: PDF, CSV, TSV, TXT, XLS, XLSX, OFX, QFX, QBO, and QIF
  • Maximum file size: 25 MB per file unless a higher limit is shown in-product
  • Files must be financial documents related to the engagement
  • Do not upload files containing executable code or embedded macros designed to harm
  • Do not upload malware, viruses, scripts, or any file designed to harm systems
  • File names should not contain path traversal characters or special sequences

5. API Usage

If you use LedgerReady API or integration features made available in your workspace:

  • Respect rate limits (documented in API reference)
  • Keep API keys secure and never share them publicly
  • Do not use the API to bulk-extract data for competitive purposes
  • Report any API vulnerabilities to our security team

6. Account Sharing and Ownership

Each account is for a single user. Accountants may invite clients and preparers via magic links, but account credentials must not be shared. If you need additional users, use the participant invitation system.

For Firm subscriptions, accounts and all associated data are controlled by the subscribing legal entity. Individual employees do not retain independent ownership rights over Firm accounts or data created within them. LedgerReady may transfer administrative control to authorized representatives of the subscribing entity upon verified request.

7. Data Integrity

You are responsible for the accuracy and legitimacy of data you upload. LedgerReady processes data as provided and does not verify the authenticity of financial documents. Uploading fabricated or altered financial records is strictly prohibited.

8. Enforcement

LedgerReady reserves the right to suspend or terminate accounts that violate this policy. You will be notified of violations and given an opportunity to respond before permanent termination, except in cases of clear illegal activity or imminent harm.

LedgerReady may immediately suspend access without prior notice when necessary to:

  • Protect platform security or infrastructure integrity.
  • Prevent ongoing or imminent illegal activity.
  • Prevent harm to other users or their data.
  • Protect LedgerReady from material reputational harm.

Violations of this AUP may constitute a breach of the Terms of Service and may result in liability thereunder. Available remedies include, but are not limited to, account suspension, account termination, and any other contractual remedies set forth in the Terms of Service.

9. Reporting Violations

If you become aware of any violation of this policy, please contact us at abuse@ledgerready.app. We take all reports seriously and will investigate promptly.

10. Changes to This Policy

We may update this policy from time to time. Material changes will be communicated via email and in-app notification. Continued use of LedgerReady after changes constitutes acceptance of the updated policy.
